Noorka Logistics (Dubai) — We are looking for a Receptionist who will represent our company in front of clients. The Receptionist will greet visitors, schedule appointments, keep guests comfortable and ensure that as many of their needs are looked after by the correct staff/version.
Key Responsibilities:
– Meet and greet guests to the office, make them feel at home, help arrange appointment schedules for them as needed and direct to correct support staff or department.
Answer/Screen the public and staff inquiries Answer telephone calls, sing messages to appropriate BRANCH Provide information back or take messages(assigns a standard Reply)
Respond to phone calls, take a message or direct the call accordingly
Receiving and Sending Mail: Direct incoming mail, Prepare outgoing mail. filing correspondence as necessary
– Ensure that the courier invoices are correct and forward them to the Finance Department for payment.
– Keep written records for visitors tracing and history logs.
– Officer stationery, equipment and pantry inventory management & replenishing ≡ PA: Purchase Order (PO) creation for office supplies /Billing payment-Making PO in SAP. Monitor petty cash payments on supplier side.
– Monitor stock levels and records at â B1 office as well the warehouses.
Manage the logistics for business travels, update records of personnel trips, and enforce rules for travel applications by staff to be done via a portal. Keep the overall view of staff availability with ‘Staff Notifications’.
- Coordinating and scheduling meetings - Setting up conference rooms, catering (where applicable)
Workplace Birthday Celebrations- Assist with monthly staff birthday celebrations. 1—2 hours/stream – assist
-Other assigned administrative and filing tasks as asked by the Office Manager.
Assign invoices downloaded from the intranet system of LES.
– Prepare monthly phone cost of employees (Etisalat & DU)
– Gathering and updating employee contact info on company intranet page.
– Mega-submitting to the admin department with
– *Customer Visits*: Transportation coordination, general visitor help.
* Visa Assistance: Processing of business travel visas, NOCs and multiple-entry visa application
– Travel Support: Monitor travel to risk countries/locations and guidance as well, check FCDO advisories, liaise with insurance companies for coverage (and the other documentations).
– *Residency Management*: Monitor dates of travel for those working outside the UAE to prevent cancelation of residence visas as a result of extended periods out-of-country.
Job Requirements:
Bachelor of Education from a recognized UNIVERSITY.
– between 1 and 3 years of relevant experience.
– Experience with Windows operating system and applications such as Word, Excel.
– Good with spoken and written English.
Knowledge of administrative and clerical procedures.
Customer service manner
Fluent in English and French; Arabic would be an asset.
